Summary of post:
As a new addition to the team as an integral part of the organisation’s wider Digital Transformation strategy, the Senior Database Administrator will play a key role in the on-going development and maintenance and operation of the newly deployed Salesforce CRM database.
This role will champion the Salesforce CRM database to technology stakeholders within the organisation; acting as the first point of contact for all Salesforce (and related apps) user enquiries. Where queries can’t initially be fixed internally, the Senior Database Administrator will manage the escalation process of relevant issues, seeking the support of either the retained Salesforce Consultant, Salesforce Implementation Partner company, or other external third-party supplier to affect a satisfactory resolution.
Working with colleagues in the Development, Marketing and Communications teams, this role will be responsible for producing mailing files and data analysis for all fundraising, marketing and campaigning activities, in addition to carrying out data imports and ensuring the ongoing accuracy and integrity of the system. The role will also provide on-going support to the Finance team with reconciliation, Gift Aid and other reporting requirements.
Main purpose of the job:
Assist with continuous development of the new Salesforce CRM database and its integration with other applications such as Engaging Networks, iATS Brickwork, and other applications deployed to achieve organisational objectives. Ensure these tools are collectively kept up-to-date and fit for purpose, scoping new technology as required.
Proactively contribute to developing and improving the Salesforce CRM database functionality, enhancing data quality, identifying areas of concern or improvement, devising processes to improve efficiency and quality of data to ensure best practice and maintain database configuration and functionality alignment to organisational needs. To assist with auditing of the system and Salesforce CRM database and the next phases of project delivery.
Effectively manage data suppliers and key external contacts, nurturing relationships and ensuring maximum benefit for both parties.
Provide support to colleagues across the organisation through the production of campaign and appeal data selection files from the organisation’s Salesforce CRM database.
Import supporter and donation files produced by 3rd party agencies into the Salesforce CRM database, ensuring all imported data is of the highest integrity and quality.
Manage the development and implementation of new data imports, throughout design, testing and roll out phases; ensure data imports are reviewed regularly from internal and external sources to ensure ongoing compatibility of data fields and their contents.
Ensure data integrity and accuracy by carrying out regular data housekeeping tasks to data held in the Salesforce CRM database.
Ensure Salesforce CRM database is kept up to date with information from the organisation’s email broadcast and online activism tool, Engaging Networks.
Support colleagues across the organisation in their use of Salesforce CRM database, with particular focus on the Fundraising, Communications and Finance departments. To contribute to the development of fundraising methods which employ the in-house campaigning tool and the database.
Identify and anticipate user training needs from new recruits to on-going top-up training, as required to help colleagues achieve their objectives.
Set up reports and assist all departments with reconciliation of their data; help colleagues turn business requirements into meaningful and insightful reports and dashboards.
Check Direct Debit (DD) claims for accuracy, adjust DD Instructions in Salesforce CRM database to reflect changes received from bank ADDACS reports, and manually reconcile DD payments in the database when needed.
Take ownership and maintain system documentation and formulation of procedures (process documentation), user guidelines and training programmes to ensure that users understand and use the system efficiently and effectively. Ensure that users are aware of functions, capabilities and potential applications by communicating new features and functionalities of the Salesforce CRM System as and when they become available.
Manage, monitor and maintain user accounts, support system security, including organisational, departmental and individual access controls, and password protection including transferring ownership of accounts/contacts/opportunities.
Ensure that the organisation works within the boundaries of data protection legislation and follows all relevant benchmarking guidelines for the protection of personal information and the privacy of individuals. Ensure that donors/supporters data on the organisational database is held in such a way that it conforms to relevant organisation’s governance principles and legislation (for example, the Data Protection Act).
Set, monitor and forecast and report income and expenditure budgets in line with the organisation’s established financial regulations.
As and when required, proactively support the wider team and assist with supporter and customer care enquiries.
At the request of the Deputy Chief Executive or senior colleagues, undertake any other duties that are consistent with this post as required.
