Purpose

The role holder is responsible for the organisation and administration of coverholder audits and the maintenance of associated records. To ensure all coverholders and binding authorities are audited and visited within agreed timescales and assist in the oversight of coverholder management activities. 

Dimensions

The team will provide binder management frameworks and support across all three SBU’s and all regions within which they operate.

Key Result Areas

Coverholder Audits:

Managing and overseeing team communications through the central team mailbox, responding to emails from internal and external parties, forwarding emails to the relevant team member and filing correspondence in the appropriate location

Maintain the audit section of the BDX system, uploading key audit information and recording all recommendations

Create and maintain a schedule of audits to be stored centrally and ensure there are appropriate privacy controls in place

Work in conjunction with the Audit Manager to create the annual audit plan, liaising with Lloyd’s and other managing agents as necessary to coordinate joint audits

Compile documents required prior to audit

Providing auditors with the necessary information required to complete the audit

Ensure all audit reports are received within agreed SLA’s and are submitted in the agreed format

Circulate audit reports to underwriters, key stakeholders and the Audit Coordinators before uploading to BDX

Creating recommendation templates following receipt of audit reports and uploading finalised recommendations to BDX 

Maintaining auditor panel documentation ensuring that this remains up to date and valid, including due diligence and TOBA information 

Underwriter visits

Create and maintain a schedule of visits to be stored centrally

Monitor the conducting of underwriter visits against the plan

Maintain all underwriter visit records in BDX, filing reports and any recommendations upon receipt

Send out monthly reminders to underwriters to notify them of upcoming visit dates

Ensure visit reports are received within agreed SLA’s

Carry out an initial Quality Assessment of visit reports before onward transmission to Audit Coordinators 

Claims visits

Create and maintain a schedule of claims visits (to include TPA’s) to be stored centrally

Monitor the conducting of claims visits against the plan

Ensure visit reports are received within agreed SLA’s

Record all reports and recommendations in BDX

Carry out an initial Quality Assessment of visit reports before onward transmission to Audit Coordinators 

Reporting

Providing a monthly report of all outstanding recommendations to underwriters

Supporting the audit manager in the provision of audit status data to following market insurers

Creating reports for senior management, and the Delegated Audit Committee (DAC) 

Responding to ad hoc requests and providing progress reports when required.
