Job Description
Job Title: Operations Administrator
Job Summary:
This role is to predominately support the Digital team, with all aspects of day to day operations. Additional support is provided to other production teams.
You will be expected to perform a wide range of the administrative tasks to support these departments enabling them to provide an effective and efficient service to the internal departments and customers.
Key Responsibilities:
Data entry and general reconciliation for invoicing.
Create job bags, stock movement requests and raise purchase order.
Using PeopleSoft, raise requisitions, amend orders, receive goods and generally managing through the system.
HR and Payroll administration including overtime, holiday’s sickness etc.
Prepare reports and KPI spreadsheets both regular and ad hoc
Liaise with recruitment agencies for temporary workers
Liaise with accounts with regard to paying invoices and setting vendor accounts/account stoppages/payment holds etc
Order and receive stock.
Archiving, filing of delivery notes, invoices and purchase orders.
General office administration duties including answering telephones, faxing etc.
Liaise with Suppliers, Clients, and Client Services as required.
Ability to prioritise a very busy workload workload.
Be responsible for the quality of all work you produce.
Be responsible for achieving optimum output whilst maintaining high quality work.
Maintain regular communication with Managers and escalating any potential problems.
Be able to understand all instructions, either verbally or written.
Communicate with the teams effectively ensuring the departments are run to their optimum efficiency.
Be responsible for your own health and safety and that of others.
Housekeeping to be kept to a high standard.
To ensure procedures and practices comply with the companies
Key Skills

Ability to create and maintain accurate / accessible and organised documentation.
Excellent report writing, analytical skills.

Excellent Excel and Word skills and other software packages.

Desirable experience in the following:
Estimating
Production schedules
Production control
Purchasing
Invoicing
PeopleSoft, Navision and CHAT.
