Job Title: LEGAL RECEPTIONIST / ADMINISTRATOR


Job Description

ROLE: PERMANENT LEGAL RECEPTIONIST/ADMINISTRATOR Primary role when needed will be in reception but in addition to the usual reception tasks there will be an opportunity to take on a range of support staff tasks. Main duties include: •Opening up the reception area first thing including checking all meeting rooms/client and staff break out areas are neat and tidy and stocked with enough supplies [marketing material/refreshments/glasses etc.]. •Meeting Room Co-ordinator – taking bookings for meeting rooms/catering/ refreshments, ordering and setting out as well as looking after tidiness/ equipment/stocks in the client catering point. •When visitors meetings are on - greeting/taking coats/bags/asking if they would like a drink/seating them suitably/informing relevant fee earners/sitting in reception while visitors are there and meetings are taking place to be on hand if assistance is required and to be able to easily clear and turn around the meeting room/s once vacated. •Meeting Room/Catering Account’s Co-ordinator (ordering, monitoring, negotiating with suppliers, signing off and tracking expenses on this). •Assisting with travel/hotel bookings. •Assisting other support staff with tasks when they are able to. START DATE: Currently flexible. Ideally would like to have someone in place by 1 March 2010 at the latest. HOURS: Preferably 8.30-4.30pm with a willingness to be flexible. We are possibly willing to negotiate on 8.30am start. EXPERIENCE REQUIRED: At least 4 years of legal reception experience (or a similar type of profession/ corporate experience) and within this experience of building relationships with clients required. Experience of building relationships with suppliers and managing supplier accounts also advantageous. Some administration/secretarial experience advantageous. SKILLS REQUIRED: Excellent written and oral communication skills as well as a professional and friendly telephone manner. Ability to communicate to all levels inside and outside the firm. Ability to multi-task, prioritise and take ownership of role and problems. Excellent time management and organisational skills. Reasonable typing speed. Accuracy and an eye for detail. Excellent IT skills including Microsoft Word, Excel, Powerpoint, Outlook and Explorer. Experience in iManage/Workspace document management software advantageous. PERSONALITY TRAITS NEEDED: Pro-active, helpful, hard working, keen, conscientious, bright, shows initiative, able to take anything thrown at them, flexible, adaptable, efficient, confident, can work in a team and on their own and has a good attitude. Immaculately and professionally presented. Interested, focused and excited about working in a recently-established progressive London law firm. SALARY: Competitive and dependent on experience.
