Job Title: Programme Office Analyst


Job Description

Team: Next Generation Programme
Department: IT
Reports to: Programme Office Manager

Background :

The company has initiated a 2-year project called ‘Next Generation’, partnering with a third party System Integrator, to implement SAP to replace their Core systems.

Job Purpose:

This role requires a strong & experienced Programme Office Analyst to:
Work alongside & assist the Programme Office Manager in the set-up, structuring, marketing and maintenance of the necessary Programme Office controls on the Next Generation Programme.

Responsibilities:

Programme Office Set Up:
Set up and maintain Programme Office controls and procedures in line with the agreed standards – building on the current methods and tools introduced by the third party System Integrator.
Set up and maintain the necessary Programme Office support tools.
Programme Standards:
Ensure that agreed Programme standards, controls & procedures are being applied across all work streams.
Programme Planning:
Maintain high-level Milestone plan spanning across all work streams.
Progress Tracking & Reporting:
Track and monitor progress against programme and work stream level plans.
Produce progress reports including dashboards for programme meetings and governance groups.
Programme Documentation:
Act as the Programme librarian, and set up and maintain a repository for all programme documentation.
Exercise version control and Configuration Management standards for all Programme documentation.
Ensure that programme standards are applied and mandatory project documentation is produced across the Programme.
Risk & Issue Tracking & Assumptions:
Log, track and report on Programme Risks and Issues.
Dependency Management:
Document inter-work stream dependencies, and track delivery against these dependencies.
Quality Control:
Establish and ensure adherence to agreed Quality Control practices and standards.
Steering Committee Support: Provide support to the main governance groups i.e. re the production of minutes, presentations and reports.
Programme Time Management:
Produce management information from the IT/Third Party Timesheet applications to input to the budget control process.

Knowledge/Skills/Experience:

Essential:
Demonstrable experience of working in a Programme or Project Office Analyst role, in an IT environment on large-scale IT/Business Change programmes.
Experience of formal project/programme methods/disciplines (e.g. Prince).
Strong planning skills and experience of using the MS Project planning tool.
Strong Microsoft Office skills, including Word, Excel & PowerPoint.
Proactive Self-Starter used to working independently, and on own initiative.
Ability to work flexibly at both strategic and administrative levels as required.
Comfortable operating amongst Senior Management.
Ability to work at a fast pace within a fast-moving environment.
Ability to work in a team.
Strong numerical skills.
Ability to build strong relationships with stakeholders.
Excellent interpersonal skills.
Excellent communication skills, verbal and written.
Excellent organisational skills.
Excellent problem solving skills.

Desirable:
Degree calibre 
Demonstrable Project Management experience in an IT environment.
Accreditation e.g. ISEB PPSO Advanced Certificate.
