Job Title: PA to Group CEO


Job Description

The company:

The company provides the international financial community with a complete range of software solutions covering Trading & Order Management software (from the front to the back office), Risk management, an order routing network, market data and dedicated services.
The company has 26 offices worldwide and employs more than 1100 people. It has over 3,500 clients, including 500 international financial institutions.
In 2005, the company’s turnover was €179.2 M€, a growth of 19.4%. the company is quoted at the Eurolist.

Objective:

The company has decided to move a part of its headquarters to London.
The headquarters managers are located in the office of the company subsidiary, the company in the City of London.
The company employs 200 staff in London.
The company now requires and experienced PA to assist the company CEO.

The role:

Along with providing PA services to the Group CEO you will be required to support the Global Account Team consisting of 3 persons.

Job Description:

You will be in charge of:
Diary Management – Setting appointments with Clients or internally, preparing any necessary paperwork for meetings and reminding the CEO of his schedule.
Highly confidential input for management of inbox and all business correspondence.
Full management of travel and accommodation for domestic and international senior business meetings Business letters.
Full co-ordination and management of meetings for CEO, to include sourcing venues, booking rooms, producing detailed agendas etc.
Welcoming Clients and providing refreshments/hospitality for meetings.
First point of contact for all of the CEO’s phone calls and communication.
Liaising with senior staff members both internally and externally.
Maintaining sickness and holiday records within your department.
Occasional administrative help on personal issues for CEO (eg expenses).
To work as an active team player with the company’s PA’s/EA’s who look after the other Direction staff in London.
Ad-hoc duties as required to ensure the smooth running of the entire office/department.

Required Skills:

This role requires a confident person with a can-do attitude and a willingness to help at all times (and with a smile).
The CEO and the CIO are both French so they require a PA with English as their first language to help them on their written presentations and communications in English.
The CEO will rely on his PA to be trustworthy, autonomous, organized, pro-active, supportive, flexible and independent with lots of initiative and the ability to multi-task.
This person must also be confident that they can be privy to confidential information and remain discreet at all times.
Desirable Skills:
French language skills would be extremely advantageous as the CEO works in French for at least some of the day, and communicates extensively regularly with the Paris headquarters.
Prior experience of supporting on a one-to-one basis would be advantageous.
Essential Skills:
English as a first language essential.
Advanced Excel, PowerPoint, Word and working knowledge of MS Outlook.
Autonomous, fast-learner, with strong organisational skills.
Ability to work under pressure.
Flexibility – hours may be long.
Good, proven career history in a Corporate environment (ideally a banking or financial services institution).

Desirable Skills:

Knowledge of London to advise the CEO and his family of locations.
Excellent telephone manner.
Good team spirit.
Experience of supporting a senior executive with heavy client interface.
Ability to deal with confidential issues with tact and discretion.
French knowledge essential.
