Job Description
It should be noted that this is a junior role and there will be administration required.
Please note that some travel and out of hours work may be required occasionally.
Duties & Responsibilities:
You will be responsible for comprehensive and efficient day to day admin support and sound organisation of the department and tasks will include:
Establishing and maintaining comprehensive and accurate manual and electronic filing systems for the department.
Arranging meetings.
Booking meeting rooms.
Taking notes of meetings.
Producing and distributing notes.
Screening calls and taking messages for the Head of Public Affairs.
Opening post and filing.
Arranging payment of invoices.
Liaising with external suppliers.
Manage enquiries/requests for information into the department.
Public Affairs/Internal comms:
Become involved in the public relations, advertising, exhibition support and internal communications side of the business.
Under the guidance of the senior press officer/internal communications manager you will:
Public Affairs:
Research, write and distribute press releases on their behalf (under supervision).
Arrange relevant photography (occasionally taking photographs).
Ensure that the correct advertising is booked and material supplied in conjunction with freelance trade pr consultant/local to site PR consultants.
Provide copy for the various customer and client communications.
Establish and maintain sound administration of the photo and general files.
Produce case study material for the sales team.
Liaise with exhibition company’s ref stand design and manning (currently rare).
To assist in the organisation of briefing meetings and seminars on both content and administration. Primarily these take place with D&G trade partners and repairer networks.
Internal Communications
Arrange social activities for the Wimbledon site and attend them
Run the Group’s Thinking Ahead (suggestion scheme) on a day to day basis
Prepare and input copy for the Group’s intranet site
Help out with ViewPoint, the Group’s employee survey
Liaise with the internal comms staff at the call centre sites
Prepare and distribute notice board content for the Group
Liaise with the Design department and help to research stories for the staff newsletter ‘Splash’ i.e. is chief journalist for this publication
Promote and encourage participation in charity days across the Group
Help to coordinate Customer Service Week across the Group
Review internal communications initiatives as and when required
Person Specification:
You need to be interested in people, a good writer, and prepared to work as part of a small team.
There will be keen deadlines and you will have to be committed to producing high quality work on time.
There will be many calls on your time and you will have to be able to prioritise tasks but your immediate line manager will give guidance on this.
You will need to be highly organised, self-motivated, flexible and able to resolve issues.
In many cases you will be the first point of contact to the department so you will be professional, friendly and approachable.
You will need to have excellent attention to detail and have good written and oral communication skills with the ability to draft your own correspondence.
There will be on the job training given and, for the right candidate, an opportunity to study for industry recognised qualifications.

Qualifications:
You will have finished A levels or be a graduate who is looking for a career in communications.
Technical Competencies:
Understanding the market.
Aims to develop a comprehensive understanding of the company's products, our USPs, and proactively seeks out information on competitor offerings.
Have a good working knowledge of competitor activity and the business objectives of the company business partners.
Consistently produces high quality communications material complying with all regulations and best practice.
Project / Personal Managements:
Can define scope, risk & deliverables associated with typical projects.
Able to set adequate milestones and task allocation.
Provides some feedback to stakeholders.
Keeps within budget and time constraints.
Shows effective personal organisation.
Report Writing:
Able to write concise, readable reports and support material with a strong commercial focus.
Addresses all key issues and makes well supported recommendations.
Demonstrates a growing understanding of complex subjects, undertakes in-depth research offering thoughtful conclusions and workable recommendations.
Report layout enhances content of report.
You should be able to use Microsoft Word, Excel, Power Point, Internet Explorer and training will be given on Lotus Notes, Paint Shop Pro and Media Atlas.
