The company:

The company is a well established financial services organisation based in the City of London . They currently employ in the region of 35 individuals but expect to continue to grow over the next year.

Required Abilities & Skills:

They are looking for a bright and helpful candidate to join the company as a Receptionist/Admin Assistant.
The role would suit someone with Secretarial training or some prior office experience.
As the candidate will be first point of contact for all visitors, investors and potential investors he/she should have a good, clear and friendly speaking voice and be well presented.
The candidate should be willing to take on a variety of roles, work well under pressure and be able to demonstrate that they can use their initiative when required.
Part of this role will include some time working for the Accounts Department and therefore someone that is confident with numbers and spreadsheets would be an asset.

Qualifications:

Minimum grade B English & Maths GCSE.
Typing should be a minimum of 45-50wpm.
Computer literate and adept in using Outlook, MS Word and Excel.
Proven prior experience of Powerpoint.
Switchboard experience.

Job Description:

This role is varied and may include some or all of the tasks detailed below:
The candidate will be responsible for handling all calls that are directed through the main switchboard.  They should be confident at dealing with incoming calls and directing the calls or messages to the appropriate person.
Maintaining the reception, kitchen and board room area environment.
Controlling diary of various company resources, meeting rooms etc.
Meeting and greeting guests and arranging refreshments for meetings.
Working with the CEO and FD as a P.A. where responsibilities may include:
Taking messages.
Assistance with administrative tasks.
General filing.
Preparation of letters.
Assisting with the preparation of RoadShow presentations used to present to Investors (PowerPoint skills would be very useful).
Ensuring copies of other investor relations materials are to hand.
Assisting the Account Department with some simple invoicing, payments and entering data into the Sage Accounting Database.
Assisting the Office Manager.
Sending, receiving and filing faxes.
Ordering stationery and cleaning material stocks, incoming/outgoing post.
Arranging travel arrangements for Directors and senior members of staff including flights, hotels and taxis (N.B. there is not a great deal of international travel at this time, but this may change.).

Sourcing couriers/taxi firms that provide the best service/rates.
Ensuring adequate stocks of milk, butter, refreshments and condiments (this may require occasional trips to Tesco).
Managing recycling services for the organisation and researching better deals/facilities.
Assisting other departments with administration roles as and when required.

Hours:

This job is from 8.45am-6pm and will include a one hour lunch break.  It is possible that the candidate may be required to work out of these hours during busy periods.

Salary:

Starting salary will be circa £19-21,000 dependent on experience. They also offer a discretionary bonus scheme.
