Job Description

Responsibilities:

  

Database Reviews:
Responsible for running ‘data cleansing’ reports on a regular basis an investigate with individuals whether report entries require attention.
Provide guidance and assistance to individuals as necessary. 
Sector Documentation Review. 
Responsible for running monthly reports. 
Collating data on numbers and types of documents produced for management Responsible for conducting regular audit to ensure that errors are being corrected.
Collation and presentation of management information.
Assist in collation of various items of information for presentation to management as required.
This will involve liaison with various staff in the company.
Involvement in the design and presentation of management information.
Template Controller Part of a small team with responsibility for ensuring adherence to the ‘House Style’.
To produce regular Contract Certainty reports.
Monitor Contract Certainty results during each reporting period, keeping management informed and liaising with Client Handlers over progress.
Responsible for providing monthly returns detailing Contract Certainty figures to relevant bodies.
Record individual Contract Certainty results centrally, provide reports to management and give feedback to individuals as appropriate.
Internal Audit:
Assist in internal audit process.
This will involve: identifying / obtaining files for audit and obtaining them reviewing files from a procedural aspect (eg. comparing workflows with Procedures Manual, Task Manager Etc).
Reviewing files from a compliance aspect (eg. issue of appropriate ICOB documentation, Contract Certainty, Guernsey electronic files).
Helping to prepare audit reporting for management.
Assisting in the identification of training needs highlighted by the audit.
Helping to provide feedback (and training as appropriate) to staff.
 
Risk Management & Disaster Recovery:
 Responsible for maintaining the Business Continuity Contact List at all times, ensuring details are up-to-date and that relevant individuals are provided with updates.
Providing ad hoc support to the Risk Management Committee as required, will involve assisting in organisation and overview of Disaster Recovery testing.  Competency Testing. Assistance with organising regular competence testing including invigilating tests.
Involvement in design and preparation of testing (on procedures etc).
Assistance with organising annual staff assessments.
Involvement in the identification of suitable seminars and training courses and co-ordination of attendees.
Involvement in auditing of training files.
Identifying training needs with specific reference to use of I.T. packages (Word, Excel) on an Adhoc basis; Staff
Recruitment Process.
Assist in co-coordinating inductions for new staff.
Authority and Responsibility Acceptance authority/Claims settlement authority/Supervisory responsibilities (number of staff)/Decision making responsibilities etc.
Under general supervision and instructions/training will be given for new or complex assignments.
Technical authority; all self-prepared correspondence is reviewed prior to being issued. Responsible for their own time management, although assistance may be given regarding prioritisation on occasion. Will make judgements and decisions on issues arising, referring to colleagues as appropriate.

Requirements:
Expected to make decisions and solve routine problems based upon the company's procedures and departmental guidelines.
Expected to use their initiative when organising events such that sufficient research is carried out to ensure the best deal is secured.
Responsible for maintaining an appropriate knowledge of and ensuring adherence to, regulatory requirements and Market Reform initiatives insofar as they affect their work and internal and external procedures; and interactions with clients, agents, claimants, market bodies and so on.
Responsibility extends to making senior colleagues aware of any potential breaches or problems.
Expected to use their initiative and be able to work unassisted once tasks/projects have been agreed.
Expected to have a pro-active approach in relation to solving problems.
Judgement is required to determine the applicability of guidelines or policies to specific cases or problems.
Ingenuity and initiative are required when organising day-to-day work including information collection and analysis and also coradiating activities with others.
Position in organisational structure attach organisational chart if appropriate.
